Receipt for freelancers: free template and when to issue one

For freelancers without a sole trader registration or company registration number, the payment receipt is often the only formal document you can issue to confirm payment for a service. Understanding when to use one and how to write it correctly protects you legally and keeps your financial records clean.

When to issue a receipt

Issue a receipt every time you receive payment for a service, especially when there is no formal contract. It protects both parties: you have proof you delivered and received payment; the client has proof they paid.

What to include in a freelancer receipt

  • Your full name and tax ID
  • Client full name or company name and company registration number
  • Date of payment
  • Amount in numbers and written out in full
  • Clear description of the service provided
  • Your signature
  • Optional: bank transfer reference or PIX transaction ID

You can issue this via email (PDF) or print and sign physically. Both are valid. If you want extra security, ask the client to countersign.
